Reports: filter, preview, and export store reports
On the Reports page, you can find all the store reports grouped together, filter them with your desired parameters, preview the result, and export it as a CSV file for analysis.
Purpose of the Report Workspace in the Control Panel
In the Reports view, you can find your store's ready-made analyses, filter their data, and review the results before exporting to CSV. Use the view when you need a controlled sample or file to review, for example, sales, products, inventory, customers, finances, or operational activities.
What is the Reports page?
The Reports page collects your store's analytics and export reports under Reports . The reports are grouped into the following subject areas: Sales , Products , Inventory , Customers , Marketing , Finance , and Operations . Each card displays the report's group, name, description, and Run Report button.
Running the report reads the store data and returns a table. You can check a limited preview before exporting to CSV. Some reports also offer a Chart view.
Reports do not change store data. Running them does not update prices, balances, availability, orders, or content displayed in the online store.
What reports are in the list?
The list on the Reports page is determined by the current report catalog. For example, it includes:
- sales reports, such as Sales Report , Sales Report CSV , Sales Conversion Report , Sales by VAT Rate , and Invoice Journal
- product and demand reports, such as Products Sold , Products Viewed , Products Requested , and Keywords Searched
- inventory reports, such as Inventory Availability and Inventory Optimization
- customer reports, such as Sales by Customer and Customer Registrations
- Marketing Coupons report
- financial reports, such as Payment Report , Performance Diary , and Open Invoices
- operational reports such as API usage , API usage costs , and API process queue
- management reports such as Sales Management Summary , Sales Management Period Comparison , Sales Management Top Performers , Sales Management Top Customers , and Sales Management Customer Retention .
Inventory value and purchase price per SKU
You can view the inventory value when logged in in the Reports view of the Control Panel. Narrow the report list to the Inventory group or search by report name. Select Inventory Optimization when you need the cost value of inventory grouped by manufacturer, or Inventory Availability when you check the quantities and purchase price of an individual SKU. Open the selected report , Run Report , and check the result with the Preview function. Use the Export function to get the data as a CSV or XLSX file. The preview is a limited sample; also note the row limit indicated by the export before interpreting the data as the entire inventory.
Inventory availability shows the SKU/inventory line information and the Purchase price VAT 0% column. The inventory line's own purchase price is used in the calculation, if it is set. Only an empty line-specific purchase price uses the product's purchase price. A separately set zero or negative purchase price remains as a missing cost and does not transfer the calculation to the product's purchase price. If the available purchase price is not positive, the report does not replace it with the sales price.
Inventory optimization adds the number of inventory lines and the purchase price described above and aggregates the cost value by manufacturer. If a product does not have inventory lines, the calculation uses the product balance and purchase price. A negative balance has a negative effect on the value. If the cost of a non-zero balance is missing, the cost value for that manufacturer will be missing. In this case, check the purchase prices of the products and inventory lines before using the value.
Inventory availability does not show a separate inventory value per line: the same inventory line may repeat due to different purchase order arrival dates, so the balance and purchase price of the visible lines should not be multiplied and summed directly to the value of the entire inventory. Use Inventory Optimization to view the cost value. These two reports do not have data restrictions for reporting date or inventory, category, and manufacturer, a separate total line for the entire inventory, or a valuation of the historical situation. The reports describe current data and are for reading only; running or exporting them does not change the balances or prices.
Find the right report
The Reports page search is based on the report's identifier, name, and description. You can use the group filter to limit the display to only reports in one subject area.
- Open Reports .
- Open the Filters panel at the top of the page.
- Enter the report name, description, or tag in the Search Reports field.
- If necessary, narrow the list under Report Groups . Select All Groups or a Single Group.
- Select Run Report on the appropriate card.
The search filters the list immediately. The group filter selection is reflected in the number of active filters in the Filters button. If no cards are found for the search criteria, the page displays the message No reports found and prompts you to change the search or group filter.
Set report parameters
On the Reports page , Run Report opens a report-specific panel on the right. The panel is titled with the name of the selected report, and its fields come from the report's own definition.
The report may include, for example:
- A date range with From and To fields, or a single date
- selection fields, such as order status, payment method, language, currency, category, or manufacturer
- period, grouping, ordinal measure, gross or net sales basis, or line quantity
- yes/no choice.
A required blank selection displays Select Value and an optional Any Value . If there are no options for a required selection, preview, chart, and export remain disabled. When you open another report, the panel initializes its own default parameters.
Management monetary reports are processed in one currency at a time. The currency field defaults to the transaction's base currency when available, but check the selection before executing.
Preview the result
Previewing the Reports page helps you verify the parameters on a small sample before exporting.
- Check the parameters.
- Select Preview .
- Check the columns, rows, and row count in the Preview Result table.
- If no rows are returned, change the selections and run the preview again.
The preview returns a maximum of 100 rows. The message Preview is truncated means that the filtered result contains more rows than are displayed in the table. This is not an error.
If the parameters are invalid, the panel will display the error Check report parameters and try again . In particular, check the date range, required fields, and report-specific thresholds.
Export CSV file
Export on the Reports page creates a CSV file with the current parameters.
- Use the same parameters you used to check the preview.
- Select Export .
- When the panel displays Export complete , save the file by selecting Download CSV .
- Also check the file name and size displayed in the panel.
CSV export is synchronous and limited per report. For standard table reports, the maximum number is 5,000 rows in the current implementation. The export includes a limited result that is wider than the preview, but should not be used to extract unlimited entire data. Tighten the time range or other parameters if you need manageable separate files.
View the report as a chart
The Chart button on the Reports page opens a separate visualization view for a supported report. If the button appears on a report card or performance dashboard, the chart uses the selected parameters. Depending on the report, the chart can be changed to, for example, the last 7 or 30 days.
The chart is not available for all reports. If you don't see the Chart button, use the table preview and CSV export. An empty chart means that no data to visualize was returned for the selected time period. If the chart fails to load, check the parameters and try again; the table preview is still the correct way to examine the returned rows.
How reports appear in the online store
Reports are read-only and export tools. Filtering, previewing, opening a chart, and exporting to CSV do not change the online store that is visible to the customer.
However, the report output can describe online store events such as sales, visitors, searches, coupon usage, or products viewed. The output should be interpreted in the context of the selected time period, currency, gross or net sales basis, and other parameters.
Opening or further processing the CSV file in another system also does not write the data back to the store. Any changes are made in separate management views and with their own permissions.
Good to know
It is worth considering the limits and spaces of the Reports page before further using the result:
- Preview is a review view of up to 100 rows; CSV export is up to 5,000 rows for standard spreadsheet reports.
- A blank result does not necessarily mean an error. Check the time period, the boundaries, and whether there are any events in that range.
- Missing options for a required selection will prevent the report from running.
- Changing a report initializes the default parameters for the new report.
- Management financial reports require a single currency.
- The chart is only visible on reports for which it is configured.
- Reports are read-only: running them does not change the store's data.
