Purpose of file management in the store

File Manager is a shared media library for images, PDFs, text files, and other files to publish. Files are organized into folders, and each saved file has a public URL.

The file manager will not automatically attach the file to a product or content page. Copy the public URL and add it to the desired content. Deleting may break content that uses the URL, as the function does not check references before deleting.

File Manager: Manage your store's media files and public URLs

The file manager combines the folder tree, file search, file list, and download functions into the /file-manager page. The folder tree on the left side lets you change the current folder. The list on the right side shows the columns Filename , Size , MIME , Created , and Actions . The save path is also displayed below the file name. Find files limits the list to the current folder, and the paging at the bottom shows the total number and the actions for the first, previous, and next pages.

At the top of the page are New Folder , Upload File , Upload Folder , Upload ZIP , and Export CSV . The file bar actions let you copy the public URL, open the public URL in a new tab, or delete the file. The file manager assigns a unique object ID to the saved file, so two uploads with the same name are not technically overwrites.

A public URL is a direct address to a file, not a content reference register. File Manager doesn't know which product descriptions, pages, emails, or external systems use the URL. Plan your folders and file names before bulk uploading, and keep a separate record of important usage locations.

Create a folder structure and search for files

Create a folder structure by first selecting the correct location in the folder tree and then New Folder . Enter a name or path for the new folder and confirm creation. The new folder will be placed under the current path. The folder tree is built from the paths of available files and folder icons, so even an empty folder can be kept with its own folder icon row.

Use short, consistent, and purposeful folder paths, such as separate branches for products, banners, and documents. Don't build the same content into multiple parallel folders just because it's used in multiple places; the same public URL can be associated with multiple pieces of content. Name files so that the user can identify them from the list without opening them.

Search for files searches within the current folder boundary. Clear the search to see all files in the selected folder. The list opens with a page size of 50 rows, but the page size can be changed. Export CSV downloads the file list as a separate export; review the export before cleaning if you need an inventory of current files and URLs.

Download individual files

To upload individual files, first select the destination folder and then Upload File . You can select or drop multiple files into the same window. Each file has its own status, progress bar, cancel, and retry for failed or canceled uploads. Upload File will start the queues waiting.

A single file is downloaded in multiple parts in 20 MiB chunks. A limited number of retries are made for server errors in a chunk, and the entire download is aborted if the error is not corrected. User cancellation aborts the download. The finished file is marked available only after all chunks have been successfully merged.

The file name is normalized for storage, but the user-recognizable display name is retained in the list. The public object key also contains a unique identifier. Re-uploading a file with the same name creates a new file and a new public URL; it does not update content using the old URL. Overwriting requires a controlled change of the URLs of the access points and the deletion of the old file only after verification.

Upload a folder or ZIP package

Select Upload Folder to upload a local folder. The browser will upload the selected files and their relative paths so that a subfolder structure can be created under the selected destination folder. The window will display the number of selected files before uploading. The folder is transferred in a single form request, and the user interface will not display the 20 MiB per-file chunking or the cancel and retry lines as with individual file uploads.

Download ZIP first uses the same multipart download as a single file. The ZIP is stored in the media library and its extraction is moved to the background. The window monitors the extraction status approximately every three seconds, for up to 40 rounds of checks. The status can end as successful, partial, or failed; the end of the monitoring does not in itself guarantee that every file was extracted.

ZIP extraction only accepts pre-allowed file extensions, such as images, SVG, PDF, CSV, and TXT files. The package can contain up to 10,000 files, the maximum size of a single file is 1 GiB, and the total size of the extracted content cannot exceed 50 GiB. Avoid unnecessary directory changes and check the list of files created after extraction.

Copy and check the public URL

To copy the public URL, open the Actions in the file row and select Copy Public URL . Paste the address into the URL field or content of the product or page. Select Open Public URL to verify in a new tab that the file is available and the content displayed in the browser is as intended.

The presence of a public URL does not automatically make the file visible in the online store. A product image, banner, document link, or content image will only be visible when the URL is used by the relevant field or content in the online store. The MIME type of the file affects whether the browser opens it directly or downloads it as a file.

Check the URL in the client view and in the required language and device versions. If you upload a new file with the same name, its URL will be different from the old one. Change the content reference to the new address before deleting the old file. Simply uploading a new file to the same folder will not replace the previous object.

Export CSV and schedule cleaning

Export CSV and plan cleanup with a file list before large deletions. The export is initiated by using the Export CSV function on the page. Use the list to identify old names, similar files, different MIME types, and unnecessary folders. However, the name or size alone does not prove files are duplicates.

The file manager list does not show the URL usage. Before deleting, find out where important files are referenced from products, content pages, emails, campaigns, and external integrations. Open the public URL and compare it to the usage if the purpose of the file is unclear.

Plan the replacement sequence like this: upload the new file, copy the new URL, replace the references, check the client view, and only remove the old one last. This will prevent broken images and document links. The file manager does not provide automatic redirection of the old URL to the new file.

Securely delete a file or folder

Delete a single file using the Delete function in the row and confirm the item identified by the file name. The deletion marks the file as deleted, removes the object from storage, and starts the background processing of clearing the cache. The deletion cannot be undone from the user interface, and references are not checked beforehand.

Delete a folder using the folder tree delete function. If the folder has up to 100 available items, the deletion is performed during the request and the result shows the number of deleted items. If the folder has more than 100 items, the folder is moved to the background queue, and the user interface indicates that the deletion is in the queue. Refresh the list later and verify that the job was completed.

Cache clearing is triggered after addition and deletion, but it is a separate queued step. Do not promise the customer an immediate change until you have opened the public URL and checked the online store. If the file was in use, deletion may render the old URL inoperable without any visible warning in the admin.

Good to know

It's good to know about the file manager that single file and ZIP are uploaded in 20 MiB chunks, but local folder uploads use a separate multi-file form. The ZIP extraction continues in the background and only accepts restricted file extensions and content that fits within the size and quantity limits.

Each download gets a new unique object and public URL. Same-name download is not a replacement function. The public URL also does not tell you where the file is used. Copy the address into content only after checking and map the usage locations before deleting.

A large folder deletion may be queued, and clearing the cache is a background task. Check the job completion from the list, public URL, and actual client view. Keep the CSV export as an inventory if you do a large cleanup or change URLs.
