Basics of inventory availability reporting

The Inventory Availability report aggregates all inventory lines for a product into a single product-specific balance. It shows the balance, reserved quantity, available quantity, upcoming quantity, and earliest best before date. The report helps you identify products with low or negative available quantities.

Run the Inventory Availability report

The Inventory Availability report can be found in the Reports view of the Control Panel.

  1. Open Reports and search for Inventory Availability .
  2. Select Run Report .
  3. Check the result on the Preview tab.
  4. Open Export and select Download CSV when you need the entire result for a spreadsheet.

The report has no date or other restrictions. The preview can only show a subset of the rows, so use the CSV export to analyze the entire availability situation.

Read product-specific quantities

When you use the Inventory Availability report, each row represents a single product and a summary of all its inventory lines. The columns are:

  • Product ID : The numeric record ID of the product.
  • Product : The name of the product in the store's default data language.
  • Balance : The sum of the quantities on the product's inventory lines.
  • Reserved : The sum of reserved quantities for the product's inventory lines.
  • Available : balance minus reserved amount.
  • Incoming : The sum of the incoming quantities of the product's inventory lines.
  • Best Before : The earliest best before date for the product's inventory lines.

The rows are arranged by available quantity from smallest to largest and, in case of a tie, by product code. This way, negative and small available quantities are placed at the top of the result.

Identify products that need replenishment

The Inventory Availability report can be used for initial prioritization of replenishment needs.

  1. First, check for products with Free that is negative or close to zero.
  2. Compare the available quantity with the Incoming quantity and delivery time.
  3. Open the product's inventory information and check the distribution by storage location and variant.
  4. Check reservations, open purchase orders, and demand before making a replenishment decision.

The incoming quantity is not the same as the available balance. Do not promise the incoming quantity to the customer until the goods have been received and the available balance has been updated.

Check the best before date

The Best Before date in the Inventory Availability report shows the earliest date on a product's inventory lines. The date does not tell you which variant or location the item is in, or how large its quantity is.

Use the day as an alert and check the batch-specific information in your inventory before making a picking, circulation or removal decision. If a product has multiple dates, the report will only show the earliest one.

A blank date means that none of the product's considered inventory lines have a best before date that is returned in the report.

Identify the limits of the report

The Inventory Availability report is not a variant or location report. It does not return color, size, SKU, manufacturer, location, purchase or sale price, or quantities for individual inventory lines. Use product inventory data or an approved export for this purpose.

The report excludes products with a main balance and all balance, reserved and incoming quantities in the inventory lines are zero. There is no separate option to show or hide out-of-stock products. Therefore, the report alone does not provide a complete list of out-of-stock products in the assortment and is not suitable as an inventory basis.
