How do you use the Sales Report CSV report?
View order volume, sales, and average purchase for a selected period and export the data to a CSV file.
Using CSV data for sales reports
The Sales Report CSV returns orders for the selected period in order-specific rows. It includes customer, shipping country, currency, and order total, tax, shipping, and coupon discount. The report is intended for further analysis, not a pre-calculated summary of order volume, sales, and average purchase.
Run Sales Report CSV
The sales report CSV can be found in the Reports view of the Control Panel.
- Open Reports and find Sales Report CSV .
- Select Run Report .
- Set the date range. The default is the last 30 days.
- Check the material on the Preview tab.
- Open Export and select Load CSV if you want the entire data to be in a spreadsheet.
The preview may only include a portion of the rows. The CSV export will give you the entire, filtered result. The result is sorted by order number from highest to lowest, not by day or sales amount.
Read the order-specific columns
Each row in the Sales Report CSV represents one order. The columns are:
- Order number : the numerical identifier of the order.
- Purchase date : the date of purchase recorded for the order.
- Customer ID and Customer : the customer ID and name stored for the order.
- Delivery country : The delivery country saved for the order.
- Currency : the currency of the order.
-
Total : The sum of the order's
Totallines. -
Total Tax : The sum of the order's
Taxtotal lines. -
Shipping Total : The sum of
Shippingtotal lines for the order. -
Total Coupon Discount : The sum of
DiscountCoupontotal lines for the order.
The missing total row will be displayed as zero in that field. The coupon discount may be a negative number due to the way it is stored.
Create a summary in a controlled manner
The Sales Report CSV does not provide ready-made order quantity, sales amount, or average purchase. If you generate them from CSV, first group the data by currency and use a single approved order set.
- Filter out orders that do not fall within the sales definition you have chosen.
- Group the remaining rows by the Currency column.
- Calculate the number of orders as the number of lines in each currency.
- Calculate sales based on the selected amount definition.
- Calculate the average purchase by dividing sales in the same currency by the number of orders in the same group.
Do not combine amounts in different currencies without an approved currency conversion. Also, do not automatically subtract the coupon discount from the Total value again, as this can subtract the same discount twice.
Compare time periods
The CSV sales report is suitable for order-specific comparisons of weekly, monthly, and campaign periods, when the same boundaries and calculation rules are used in both data sets.
- If the number of orders increases but the average purchase decreases, compare total sales and product mix before drawing conclusions.
- If the average purchase increases but the number of orders decreases, check the impact of the campaign on shopping cart size and customer volume.
- If the shipping or coupon discount percentage changes, check the change by currency and campaign period.
Separate the CSV extract from the actual sales report
The Sales Report CSV limits rows based on purchase date, but does not apply the sales scope of the actual Sales Report . The CSV extract can include, for example, canceled, returned, quotation, test, uncollected, or orders imported from the ERP system.
For an approved sales trend, use the Sales Report , where you can select net or gross sales and the store's own or collected sales scope. Use the Sales Report CSV for order-specific review only after the necessary spatial delimitation has been made or the report implementation has been corrected.
