Payment method reporting basics

The Payments report returns orders for the selected period as order-specific rows and shows the payment method, payment provider, and payment method code stored for the order. It allows you to view payment method usage and compare order total rows by payment method. The report does not indicate whether a payment has been made or settled.

Run Payment Report

The payment report can be found in the Reports view of the Control Panel.

  1. Open Reports and find Payment Report .
  2. Select Run Report .
  3. Set the date range. The default is the current calendar month.
  4. If necessary, select one installed Payment Method . An empty selection includes all payment methods.
  5. Check the result in the Preview tab or open Export and select Download CSV .

The preview may only show a subset of the rows. Use CSV export to process the entire restricted order data. Both the preview and CSV contain the same columns.

Read the order-specific columns

When you use the Payment Report, you get one row per order. The columns are:

  • Order number and Purchase date : order identifier and recorded purchase date.
  • Customer ID and Customer : the customer ID and name stored for the order.
  • Delivery Country and Currency : country and currency information saved for the order.
  • Total : The sum of the order's Total lines.
  • Total Tax : The sum of the order's Tax total lines.
  • Shipping Total : The sum of Shipping total lines for the order.
  • Total Coupon Discount : The sum of DiscountCoupon total lines for the order.
  • Payment method : the name of the payment method stored for the user for the order.
  • Payment provider : The provider value stored for the order.
  • Payment method code : The technical code of the installed payment method used by the Payment method scope in the report.

The missing total row will be displayed as zero in that total field. The report will sort the orders by order number from largest to smallest.

Compare payment methods usage

When you use the Payment Report to compare payment methods, you get the order quantity by counting the rows by Payment Method Code and Currency groups. Use the technical payment method code as the primary grouping key, as the user-visible name or provider value may change or be missing.

If you're comparing payment methods based on a monetary amount, keep the currencies separate. You can calculate the order's tax-free amount by subtracting the Total Tax value from the Total value, but don't automatically deduct shipping or coupon discounts again, as they are separate order total lines and may already be contributing to the total.

Separate order from payment

The payment method in the payment report tells you how the order was marked for payment. The report does not return the payment status, payment transaction identifier, payment date, value date, or bank transaction. Use the payment service's transaction data or the Transaction Journal to reconcile completed payments.

The payment report also does not apply the approved sales order limit. For example, canceled, returned, quotation, test, uncollected, or orders imported from an ERP system may be included. Do not use the report's row count or amounts as realized sales without the necessary space limit.

Use financial management materials correctly

When you use the Payment Report in CSV format, you can combine order payment method information with other data, but the report is not suitable on its own as a proof of accounting or payment settlement. The report does not return the customer's Business ID, tax rate-specific lines, or payment processing and settlement information.

Protect CSV as personal customer data, limit access rights and retention period according to purpose. Reconcile financial management figures with approved sales, tax, payment and settlement data by currency.
