How do you use the Sales by Customer report?
Find out which customers have purchased the most in the selected period and narrow the report by products.
Interpretation of customer-specific sales report
The Sales by Customer report organizes repeat customers by the total amount of order lines for a selected period. The report helps you identify customers who have ordered a lot and customers who don't have a very recent order. Its amount is order line-based and does not correspond to accounting sales as such.
Run the Sales by Customer report
The Sales by Customer report can be found in the Reports view of the Dashboard.
- Open Reports and find Sales by Customer .
- Select Run Report .
- Set the date range. The default is the last 30 days.
- If necessary, select Manufacturer , Category , or Exclude orders from the last few days .
- Check the result in the Preview tab or open Export and select Download CSV .
Preview may be truncated. Use CSV export when you need the entire trimmed result for customer-specific analysis.
Read the customer summary line
Each row in the Sales by Customer report represents one permanent customer account. Temporary customers are not included. The columns are:
- Customer ID : the customer's numeric record ID.
- First Name and Last Name : the names currently stored in the customer account.
- Email and Phone : contact information currently stored in the customer account.
- Number of orders : The number of distinct orders that fall within the selected time period.
- Total products : the quantity of the order lines multiplied by the unit price stored on the line and summed for the customer.
Shipping costs are not included in the product total. The report sorts customers by product total from highest to lowest and, in case of a tie, by customer ID.
Narrow down buyers by manufacturer or category
The manufacturer and category filters in the Sales by Customer report select orders that have at least one product line that matches the filter. However, the Total Products for the selected customer is calculated from all product lines in these orders, not just products from the selected manufacturer or category.
So use the filter to answer the question “who ordered with orders that included this manufacturer or category?” Do not interpret the amount as sales for the selected manufacturer or category. The manufacturer filter uses the current manufacturer of the product, while the category filter uses the category list saved on the order line at the time of the transaction.
Find customers who don't have a recent order
In the Sales by Customer report , Exclude customers who ordered in the last few days removes from the results any customer who has an order after the specified number of days. The limit is calculated backward from the beginning of today, not from the end of the selected reporting period. The value can be 0-3650 days.
For example, a value of 30 will search for customers in the selected time period who have not had an order in the last 30 days. Exclusion will check all recent orders from the customer, regardless of the selected manufacturer or category. This allows you to target a reactivation audience, but check consents, customer relationship status, and campaign targeting conditions before contacting them.
Limit sales conclusions
The Sales by Customer report does not apply the order restriction approved by the actual sales report. For example, canceled, returned, quotation, test, uncollected, or orders imported from the ERP system can be included. Also, the recent orders exclusion takes into account all orders regardless of their status.
The report does not break down by tax, price mode, or currency. Use it for customer discovery and relative comparison only when the data boundaries are known. Verify actual sales, customer value, and campaign performance from an approved sales report or analytics.
