Purpose and use of availability modes

Availability statuses are language-specific names and common color codes that the online store's product data associates with a product's in-stock or out-of-stock status. Typical names include In Stock, Sold Out, and Available to Order. In the Availability Statuses view, you maintain a common register; in-stock and out-of-stock status tags are selected separately for the product.

Customers often make purchasing decisions quickly and want to know if and when they will receive the product. Carefully constructed availability spaces answer the question clearly and consistently across the entire range. Language-specific text and consistent color help distinguish an immediately available product from an out-of-stock or backordered option.

Availability status is a message that is visible to the customer. It does not alone determine whether a product can be purchased, but purchaseability and inventory handling are determined by the product's status, balance, and other store settings.

Design availability spaces as a unified system

It is a good idea to plan the names of AI Commerce availability states before filling out the register. Use the same meanings consistently across the entire range: for example, In stock for a product that can be delivered normally, Sold out for a product with insufficient balance, and Available on order only when the ordering process truly supports the message.

One availability state has a common Color hex and a mandatory name for each data language used. The maximum length of the name is 84 characters. However, keep the visible text short so that it works in the product list and product page on mobile as well.

Color can aid interpretation, but don't rely on color alone to determine meaning. Use distinctive names and keep the usage of green, yellow, and red consistent across all availability modes.

Check the availability register

In the Availability States view, the /products/availability-states list shows the columns ID , Name , Color , and Products . The Products count tells you the number of products that are using the space as either an in-stock or out-of-stock state. This count helps you assess the extent of the change and prevents you from deleting the space that is in use.

Open the status by clicking on the ID or selecting Open from the row. You can return to the list from the Availability Statuses link in the view's breadcrumb trail. If there are no rows in the list, the view will indicate that there are no availability statuses.

Before changing the name or color, check the Products chapter. The same register space can be used by multiple products, so the change will be reflected in the availability information of all products that refer to it.

Create a new availability status

In the Availability Statuses view, a new register status is created by selecting New Status :

  1. Enter the Color hex as six hexadecimal characters, with or without the # sign, for example 00FF00 .
  2. Enter a Name for each data language displayed in the view.
  3. Make sure each name is no more than 84 characters and that the same language only appears once.
  4. Select Save status .

The current backend requires a name for all available data languages. One language is not enough to store. The color can technically be left blank, which will display No color in the list, but it is worth specifying a clear color label if the e-commerce theme uses it to display availability.

After creation, the dashboard opens a new availability status information page. Adding a status to the registry does not yet select it for products.

Edit availability status

On AI Commerce availability status details page, you can change the Color hex value and language-specific names. Changes to an existing status are automatically saved after a short delay; a separate Save Status button is included when creating a new status.

The change will keep the same ID and product references. Changing the name or color will therefore affect all products that use the space as their in-stock or out-of-stock status. Create a new register space if you need a completely different meaning for only some of the products.

If the save fails, check for missing languages, 84 character limit, duplicate language, and Color hex. The invalid hex value must contain exactly six hex characters.

Choose two availability states for the product

In AI Commerce 's product availability settings, you select In-stock status and Out-of-stock status . In-stock status is the registry entry used when a product is available according to the current availability condition. Out-of-stock status is an alternative for situations where the condition is not met.

Availability statuses can also be changed for selected products using the bulk action in the product list. You can update the in-stock status, out-of-stock status, or both. Please confirm your selection before confirming, as the bulk action will change all selected products.

The Products section of the register takes both reference fields into account. If you want to remove the availability status, change it to off in both the in-stock and out-of-stock status options for the products.

This is how an online store chooses the availability status

AI Commerce 's online store selects the in-stock or out-of-stock status for a product based on DISPLAY_AVAILABILITY_BY_STOCK setting. When set to true , the in-stock status is selected only if the product's Availability status is enabled and the balance is greater than zero. Otherwise, the out-of-stock status is used.

When DISPLAY_AVAILABILITY_BY_STOCK is not true , the selection is based on the product's Availability status: the product in use will be in stock and the other product will be out of stock, regardless of the balance. Therefore, the meaning of the availability message must be adapted to the store's own inventory settings.

The online store product data retrieves the name of the selected availability status in the product language and the color of the same status. The exact visual location in the product list and product page depends on the active online store theme, so check both views and the mobile size.

Safely remove availability status

The Delete function on the availability status details page opens a confirmation. The backend blocks the deletion if even one product uses the space as an in-stock or out-of-stock status, and an error message indicates the usage amount.

First, change the availability status of the products in question individually or in bulk. Then return to the register and make sure that the Products count is zero. The deletion will delete all language-specific names and the common color of the status.

If your goal is just to correct text or color, edit the existing space instead of deleting it. This way, product references are preserved and parallel registry lines are not created for the same purpose.

Summary

In the Availability Statuses view, you create language-specific availability names and a common color that are used by the in-stock and out-of-stock statuses of products. Give each data language a name, keep the name to 84 characters or less, and check the Products count before changing or deleting the common register status.

The automatic selection of the online store depends on DISPLAY_AVAILABILITY_BY_STOCK setting. When enabled, the selection takes into account the product's Availability status and balance; otherwise, only the Availability status. Availability status conveys a message and color, but does not alone determine the product's purchaseability.
