Order packinghouse workflow

Order processing is the packinghouse desktop where you retrieve the order, confirm tracking, and acknowledge the order lines as packed. Once all products are confirmed, the service finalizes the order status, attempts external status synchronization, and sends a tracking or pickup notification.

Get an order

Open Order Handling at /orders/handling . Enter the order ID or tracking code in the search field and press Search . A barcode scanner can enter the tracking code in the same field.

The search interprets a value of up to 7 digits as an order ID and any other value as a tracking code. The preview shows a summary of the customer, order date, delivery method, tracking code, delivery country, status, and packaging.

On order lines, you can see the model, name, EAN code, Warehouse location , variant, confirmed and ordered quantity, and the line status. A payment status such as a company invoice may show a separate review warning.

Confirm tracking code

To verify products, the order must have a non-empty tracking code. Enter the code in the Tracking Code field and select Save Tracking .

The packaging desktop accepts a standard tracking code only if the same code is already saved for an order. For an empty order, the special values nouto and kirje are accepted in this view. Save the new shipping tracking code in the separate Tracking Code view and then return to packaging.

nouto completes the order to the ready-to-pickup status. kirje is processed as a letter shipment. Use special values only in their actual delivery meaning.

Confirm products

To validate a product, enter the EAN, model code, or product variant identifier in the Scan or product code field and select Validate scan . You can also use the Validate action on the order line.

Each confirmation increases the confirmed count of the row by one. If there are multiple pieces in a row and at least one has already been confirmed, the user interface will ask for an additional confirmation before the next piece is acknowledged. A rescan of a fully confirmed row is prevented.

The service saves the quantity and row confirmation ticket in the transaction history with the administrator's information. An incorrect code will display a Product not found error and will not change the row.

Complete full order

When the last item in the last line is confirmed, the order moves from Packed to the final state. Standard delivery ends up in Shipped status and nouto in Available for Pick-up status.

The service then attempts external status synchronization and sends a tracking or pickup notification to the customer. A notification error does not cancel an already saved status change, but is returned as a warning. So check the final message, do not assume that the email was sent based on the status alone.

The status change, packaging message, and customer notification entry are recorded in the order history. External synchronization warnings are returned in the action result.

Send incomplete

Use the Send incomplete function only when you intentionally need to complete the order without all confirmed lines. Confirm your decision in the window that opens.

The service records the names of the missing products in the status history, changes the order to the regular Shipped or Pick-up status, and attempts an external status sync. It does not send a tracking email to the customer and sets the notification flag to off.

Document the reason for the exception separately according to the practice of the team handling the order. The action does not create a backorder or deduct missing lines from the order.

Use a separate tracking code view

To access a separate tracking code view, open the Tracking Code feature at the top at /orders/handling/tracking . The view searches for an order with a maximum 7-digit ID or current tracking code and saves a new code of up to 64 characters with separate confirmation.

A separate function marks the order as shipped, or for pickup with a nouto code, and sends a notification if the customer has not already been notified. Use it when handling tracking without line-by-line packaging.

When a package cannot be registered

If saving a package returns the error External synchronization required , the order's packaging information cannot be written from the Control Panel. The order is then processed through the external system connected to it. Check the order status in the Control Panel afterwards before continuing with the picking or shipping.

Do not use both packaging views side by side for the same order. Reload the preview if another user or system has changed the order.

Good to know

Order processing changes order lines, status, history, and customer communication marking. Complete one order before moving on to the next, and review the results of each action.

Manual validation and scanning use the same service. Scanning only reduces selection errors if the EAN, model and variant identifiers are unambiguous and properly maintained.

The packing desk does not print a shipping label or create a shipping service shipment. They are separate shipping and printing workflows.
