Suppliers: manage your purchasing partners and purchasing terms in one place
A centralized supplier register that lets you manage your purchasing partners' information, terms, and product links for smooth purchasing.
Purpose of the supplier register in procurement
The Suppliers view is the procurement register in the ERP workspace. It is where you store supplier identification and contact information, default currency, payment and delivery terms, and internal notes. The same supplier can be associated with products and selected in procurement workflows.
The supplier register is internal. Its information is not visible as such to the online store's customers.
What is managed in the Suppliers view?
The Suppliers view gathers purchasing partners in one register. A single supplier can have an optional supplier code, mandatory name, email, phone, default currency, payment terms, delivery terms, notes, and usage status.
In the product procurement information, a supplier link can store the supplier's SKU, procurement price and currency, minimum order quantity, and delivery time. One of the links can be designated as the product's primary supplier. The Supplier Products tab collects these links in read mode.
Keep only the current information in the register. The default currency and terms are the basic information for the supplier, but always check the purchase order values separately: the current purchase order form does not automatically copy all the supplier's payment and delivery terms.
Search and filter suppliers
The Suppliers list shows the supplier's ID , Code , Name , Contact Information , Currency , Status , and last update.
- From the ERP workspace, open Suppliers .
- Search by name or supplier code.
- In the Usage status filter field, select All suppliers , Only active , or Only inactive .
- Select Open Editor from the row.
- Load more rows if there is a next page in the list.
The search and usage filter are stored in the page's URL parameters. The list is sorted by name and then by vendor ID.
Create a new supplier
On the Suppliers page, New Supplier opens the creation form.
- Enter an optional Supplier Code . Use a stable internal code if the integration or your own process identifies the supplier with it, for example
ACME. - Enter the required Name .
- Add Email and Phone if necessary.
- Select Default currency : EUR, USD, GBP, SEK or No default currency .
- Record Payment Terms , Delivery Terms , and internal Notes .
- Select Create supplier .
The new supplier will be created and its details page will open after saving. The supplier code must be unique. The name is required, the email must be valid, and the default currency must be a supported three-letter code.
Edit supplier basic information
The Overview tab on the supplier details page displays the identifier, contact information, usage status, currency, and terms.
- Select Edit .
- Update the required fields.
- Select Save supplier .
Select Cancel to restore the last values saved to the form. The usage mode is not changed in this form, but through a separate action in the data page header.
The save only updates the basic supplier information displayed on the form. The SKU, price, minimum order quantity, delivery time, or primary supplier for product links are still edited on the product's sourcing tab. This keeps the supplier's common information and product-specific purchasing terms separate.
Check products and notes
The Supplier Products tab shows the linked product, supplier SKU, price and currency, minimum order quantity, delivery time, and update time. The product name opens the product's procurement tab. Adding and editing the link is done in the product's own procurement information, not on the supplier's details page.
The text on the Notes tab is an internal procurement instruction. On the tab, select Edit , update the text, and select Save Supplier . A note saved as blank will be removed from the record.
The Purchase Orders tab is a placeholder in the current view. It does not yet show vendor-specific purchase order history.
Disable or re-enable the provider
In the header of the supplier details page, you can disable an active supplier. The function will ask for confirmation. A disabled supplier can be re-enabled from the corresponding header function.
Deactivation does not delete the supplier record, notes, or existing product links. The history is preserved, but the inactive supplier should not be selected for new supplier links, RFQs, or purchase orders. Reactivation makes the record active again.
Before decommissioning, review your preferred supplier choices and open procurement workflows. Simply changing the usage mode will not automatically move them to another supplier.
How suppliers appear in the online store
The suppliers register, contact information, notes, and product link purchase price are operator purchase data. They are not displayed to the online store customer, and editing the supplier does not directly change the product's sales price, visibility, or availability message.
Supplier information can impact internal purchasing, replenishment proposal processing, and purchase order preparation. This type of purchasing impact is different from the online store information visible to the customer.
ERP order and locked preview
The Suppliers view's write operations require the ERP module. Without an active ERP subscription, the view can display preview content, but the locked New Supplier , Edit , Save , and Change Usage Mode actions will not write data.
On the Products tab, ERP locking obscures values like price and delivery time. If supplier information is not available from the service, resolve the error before editing and do not infer preview values as correct tenant data.
Good to know
In the Suppliers register, it is a good idea to agree on at least responsibility for maintaining codes, currency, and terms.
- The supplier code is optional but unique.
- Name is required.
- The default currency is a supported 3-letter ISO code: EUR, USD, GBP, SEK, or blank.
- The supplier price is the purchase price of the product link; it does not automatically update the cost or selling price of the product.
- The preferred supplier drives the procurement selection only in workflows that use that product information.
- The Purchase Orders tab does not yet offer vendor-specific history.
- Deactivation preserves the record and history; it is not a permanent deletion.
