Replenishment proposals: check products that have reached the order limit and create draft purchase orders
Instantly see which products are below the order limit and convert them into supplier-specific purchase order drafts without manual inventory checks.
How replenishment suggestions work in stock
Replenishment proposals aggregates products with current balances at or below the reorder limit. The view combines product inventory information, primary supplier, and procurement information so you can select products to replenish and create draft purchase orders for them.
A replenishment proposal is not an automatic order. The product is listed based on rules, and the administrator separately selects from which lines the draft purchase order is created.
When will the product appear in Supplement Suggestions?
A product appears in Replenishment Suggestions when its Order Limit is greater than zero and its Current Balance is equal to or less than the Order Limit. A value of zero removes the product from suggestions.
For example, a product will appear in the list if its Order Limit is 5 and the balance is 5, 4, or less. If the balance increases to 6, the product no longer meets the condition.
The Order Quantity determines the quantity to be proposed for the draft purchase order. If the Order Quantity is zero, the creation backend uses a quantity of 1. Therefore, set a positive quantity for the product intentionally before creating the draft purchase order.
Specify product procurement information
The product's Order Limit, Order Quantity, and Supplier Association are defined on the product's Procurement tab.
- Open the product and select Procurement .
- Enter Order Limit . Use a value of 0 if the product should not appear in Replenishment Suggestions.
- Enter the Order Quantity as a positive integer.
- Assign a supplier to the product and, if necessary, mark Primary Supplier .
- Fill in the supplier SKU, supplier price, currency, and delivery time if used in the purchase.
Changes to product procurement information are saved according to the normal saving practices for the product detail page. Replenishment suggestions are calculated from the saved values on the next list load.
Check Supplement Suggestions
Replenishment proposals are opened from the path ERP > Procurement > Replenishment proposals . The summary shows the total number of proposals and the number of products that are missing a primary supplier.
The table shows:
- ID and Product , which access product information
- Current balance
- Order limit
- Order quantity
- Primary supplier , where you can access supplier information
- Supplier SKU
- Supplier price with currency
- Delivery time in days.
Missing information is displayed as a line. A product without a primary supplier will be marked with a No Primary Supplier label so that the missing information can be corrected before creation is initiated.
Limit Supplement Suggestions
You can search for supplement suggestions by product name or model and narrow them down by primary supplier.
- Enter the product name or model in the search field.
- Open Filters and select Supplier .
- To restore the entire list, select All suppliers and clear the search.
- Go to the next page if there are more results than the selected page size.
The supplier filter uses the product's primary supplier ID. If the list of active suppliers cannot be loaded, the view displays an error and a Manage Suppliers button.
Create purchase order drafts
Purchase order drafts are created from the selected replenishment proposals, grouped by primary supplier.
- Select the rows to order from the table.
- Check the Order Quantity, Supplier, and Supplier Price for the selected products.
- Select Create purchase drafts .
- Check the number of draft purchase orders created from the notification.
- Continue working with the created records in the Purchase Orders view.
The backend checks the product conditions at the time of creation. The product is skipped if it is no longer below the order limit, lacks a primary supplier, or is not in use. The selected products are grouped by supplier, and one draft purchase order is created for each used supplier.
The quantity on the purchase order line is the product's Order Quantity or at least 1. The unit cost comes from the Supplier Price value in the supplier connection; if there is no price, the backend uses the value 0. Therefore, review each draft purchase order before submitting.
ERP module preview mode
The ERP module preview mode shows the structure of Replenishment Proposals, but hides the balance, quantity, price, and delivery time values. Create purchase drafts is locked when the ERP module is not in use.
Creating draft purchase orders only changes the purchase information. It does not itself change the product's balance, price, usage status, or availability visible to the customer. The balance changes only when a separate purchase order is received.
The hidden values in the preview mode should not be used to make a purchasing decision.

- A product without a primary supplier appears in the list but is skipped during creation.
- A product whose primary supplier is not in use will be skipped during creation.
- One draft purchase order is created for each primary vendor in use.
- The missing supplier price will change to zero on the purchase order line, so the cost needs to be checked.
- Creating does not send the order to the supplier or increase the product balance.
