Tag analytics: compare customer groups and open deals

Tag analytics brings together a single view of how your CRM tags are distributed across your customer base — customer numbers, open deals, and the most common lifecycle stage — so you can target sales and marketing to the right groups.

The purpose of CRM tag analytics

Tag analytics aggregates CRM tag usage into a single view. It lets you see how many customers have each tag, such as VIP, Reseller, or Trade Show Contact, how many open deals customers associated with the tag have, and which lifecycle stage is most common in the group.

The view is intended for reviewing data. Tags are created, archived, and assigned to customers on a separate Tags page.

Open Tag Analytics

Open Tag Analytics at /crm/tag-analytics . The CRM module is required to use the page. If the module is not included in the subscription, the page will display a prompt to enable the module instead of the actual numbers.

Select Manage Tags to go to the Tags page. Tag Analytics does not have tag creation, editing, archiving, or appending functions. Return to Analytics or refresh the page after tag changes to retrieve the new numbers from the server.

Read the summary cards

Tag analytics displays three summaries at the top of the page:

  • Tagged customers counts different customers that have at least one CRM tag attached to them.
  • Untagged customers are regular customers who do not have any CRM tag associations. Temporary customers are excluded from this figure.
  • Active Tags shows the number of tag rows currently in the table.

The first two counts are based on all tag associations. Show Archived Tags does not change them. The switch changes the contents of the tag table and the count of the third card. So when archived tags are included, the Active Tags heading can also include archived tags.

Tagged and untagged customers provide an overview of classification coverage, but should not be used to compare the impact of archived tags.

Compare rows in tag table

Tag analytics displays one row in the table for each included tag:

  • The tag displays the name and color stored on the tag.
  • Customers shows the number of different customers who have the tag.
  • Open Trades shows the number of different open trades for these clients.
  • The most common lifecycle shows the lifecycle stage that is most common for the tag's customers. A dash means there is no stage.

The rows are first sorted by customer count from highest to lowest, then by tag name in case of a tie, and finally by tag ID. The table does not have pagination or user-selectable column sorting.

If a customer has multiple tags, the same customer can appear in multiple rows. Their open trades can also be included in the Open Trades count for multiple tag rows. So, do not add up the rows in the columns to total your entire customer base or all open trades.

If several lifecycle stages are equally common, the server selects the first technical stage value from them in alphabetical order. The stage is presented as is on the screen, so its language or format may differ from other Finnish-language states.

Include archived tags

By default, the table only shows tags that have not been archived. Open Filters and enable Show archived tags to also compare previously used classifications.

This option adds includeArchived=true parameter to the address and re-fetches the view. Archived tags are included in the table in the same way as other tags. They are not marked with a separate archive status in the table, so identify old tags by their name and purpose, or check the status on the Tags page.

Deselect to revert to the current tags. If there are no tags to include, the page displays the message No CRM tags found .

Interpret numbers safely

Tag analytics with a high Customers number indicates a broad classification, not an automatically valuable or campaign-appropriate segment. A high Open Deals number indicates that customers associated with the tag have a lot of open deals, but not the value, age, or likelihood of the deals progressing.

The most common lifecycle only describes the most common stage. It does not show the distribution of other stages or tell you how clear the majority is the most common stage. Make important decisions about customer and sales data before reaching out or launching a campaign.

Keep your tags and customer connections up to date on the Tags page. Tag analytics calculates the current database state every time the page loads, and there is no separate calculation schedule or refresh button in the view.

Impact on online shopping

Tag analytics is an internal, read-only view within the management. Changing the filter or viewing the numbers does not change the prices, product visibility, availability, or content of the online store.

Tags can support segmentation and sales work done elsewhere, but this view does not launch campaigns or change customer or transaction data. Any actions taken are done in their own workspaces.

Also, Show Archived Tags does not restore tags or change their visibility in other actions. The selection is a read filter for this analytics page. If you want to change the status or associations of a tag, make the change on the Tags page and then separately review the customer and store workflows that use it.

Good to know

Tag analytics requires you to remember the following limitations when interpreting the results:

  • You cannot edit table values on the page.
  • The archiving filter applies to tag lines, not the two customer summaries.
  • A single customer and an open transaction can be included in the counts of multiple tags.
  • The number of untagged customers excludes temporary customers.
  • An empty lifecycle stage is shown as a line.
  • For a page loading error, select Try again .

The table does not store your own settings or create a historical view. If you need to compare between different points in time, agree on a separate reporting method; the current figures on the page only show the database status at the time of loading. Also, check the status of a tag on the Tags page before concluding whether it still belongs to the classification in use.
